New compounds can be entered into the New Compound screen. The user fills in the details, picking from lists where necessary. The system can be configured with commonly ordered compounds so entering a catalogue, or picking from the list, will automatically enter the supplier, compound name, nuclide, activity and quantity.

IsoStock uses the reference date, half-life of the nuclide, and receipt date to calculate the decay corrected activity on arrival.

IsoStock automatically generates a reference code for the compound on confirmation. The format of the reference code is flexible and can be defined in the Setup.

(This data can also be entered before the compound arrives in the almost identical Requests and Orders screens).

Hit the Use this compound option and record a withdrawal in the Use compound window. The best way to record is in quantity. You know that you have a 25μl bottle and you've taken 5μl out. You then do not have to deal with activity or think about decay at all. What a time saver! IsoStock can also calculate the required quantity if you enter the required activity. The sub-sample is automatically allocated a reference code for future transactions.

Hit the Dispose of this compound option and record the disposal of the compound in the Disposals screen. You can select from any available disposal route, such as drains, fume cupboards etc., or select any available waste container. As with usage, you can record your disposal in quantity, activity or percentage. Of course, entering a quantity or percentage requires no decay calculations. As you record a disposal, it is added to the compound history.

This is the hub of the system. Records all transactions against compounds and builds a history on a ‘page per compound’ basis in a similar way to a paper record. The information at the top of the page shows the details of what the compound is, where it came from, original quantity and activity. The section on the lower half of the page shows all transactions that relate to this compound. Where a compound has been split into samples, the transactions associated with these subsamples are also displayed. The left hand menu shows all the options that are available for the displayed compound based on the users security access.

The Search for reference box will show the latest compounds used, allowing the user fast access, or to locate a compound from a reference code. The screen can also be switch into 'list view' with search options for accessing many compounds.

A compound can be dispensed creating sub-samples. The amount is specified as either a quantity, activity or percentage and is fully decay corrected for both realtime and historical entry. If the subsample is created using the Dilute / Synthesis option, the user can change the units of quantity for the new sample, as well as update any change in name. The activity in the subsample is full tracked back to it's parent.

Sources with tests due are highlighted to the user on the Sealed Source screen. The user finds the source and clicks the Perform Leak Test option. IsoStock adds the details of the test to the Source transaction history. All historical tests (and location checks and calibrations) are visible on the Sealed Source screen.

The Search for reference box allows the user to locate sources by reference code or serial number.

This screen shows the current holding levels in comparison to your licence limits. All your site and departmental limits are listed. Selecting one of these displays further detail. The report always defaults to "right now", but you can check any date.

The report always checks in relation to your limits. If you have a combined Carbon 14 and Tritium limit, IsoStock will automatically combine the totals. Colour is shown to highlight totals that are approaching or breached their limits.

The screen below shows the total disposed in comparison to the limits from your licence.

You can also easily produce an annual or monthly return for your regulatory agency.

Container types can be defined so that you can differentiate between say Yellow Bins, Plastic Containers, Metal Drums, or any other names you would like to use to physically describe the containers. Departments can handle their own waste containers, sealing them when they are full, and requesting collection by waste management. Containers can either be used for single nuclide, or a mix of nuclides - IsoStock handles all the decay automatically.

This screen shows the details of one bag or container. A reference code is automatically generated when the details are confirmed.

You can easily see exactly what is in a bag/bin, even if the bag was destroyed three years ago! It is all fully traceable.

The Accumulated waste option allows you to manage your decay store, showing details of all containers along with activity, age, container type etc.

Finally the waste containers can be assigned to consignments specifying when and how they will be disposed of.

IsoStock has comprehensive waste/decay store management. When a compound is disposed of, the scientist can specify what proportions of the sample was disposed into waste containers. Waste container types can be defined to represent the actual containers used on your site. Each container has a unique reference code to identity. IsoStock keeps an accurate decay corrected record of all the containers and their contents. You can quickly see how much activity is in each container and where it is. By highlighting a container it's contents are displayed showing each part of each compound or sample that it contains.

Waste containers can be grouped together into consignments for disposal by your authorised routes. This can be organised in advance of the waste being collected - using the decay analysis function, this could even be months in advance as IsoStock can indicate when containers will decay to a given activity. The activity contained within a consignment can also be forward calculated to the expected date of collection for an accurate report of exactly how much waste will be disposed of.

An optional barcode and labelling function is available. You can define the formats of labels that will be used and the information to be printed on them, including a barcode. The barcodes can be used for stock checking storage locations. Using a portable barcode scanner a user can scan all the items within a storage location. On returning to IsoStock and transferring the data, a report is produced showing the expected items, the items scanned and any anomalies. A stock check transaction is recorded against each compound along with date, time and user.

IsoStock contains many reports. Each screen has a 'print this' option that will print either the list of items (ie. compounds, waste, etc) on screen, or any highlighted item along with details regarding the item. The reports menu also contains a number of predefined summaries and calculations. Most reports are interactive with optional parameters to select time period, departments, locations, nuclides etc. Selecting parameters instantly updates the data displayed. All reports can be printed or exported in PDF, CSV, or cut and paste to Word/Excel/Email.

All entries within IsoStock are fully editable. When a user makes an edit (subject to their security access) they are presented with a list of all the changes they have made. They must then enter a reason for making those changes, which can be either free text or picked from a list of pre-defined reasons. On confirmation, the changes are saved to the audit trail for that item is updated with the date, time, user, reason for editing, and the list of previous and new data.

IsoStock has fully customisable security access. Any number of security levels can be created and users can be allocated a security level. There are over 350 different options that can be enabled or disabled for each security level. Users are also be allocated to one (or several) departments further controlling the compounds and data they have access to.
